Privacy Policy Statement

The Financial Executive Club ("the Club") is committed to protecting your privacy. The Club aims to comply with the requirements of the Personal Data (Privacy) Ordinance (Cap. 486) ("the Ordinance") of the Laws of the Hong Kong Special Administrative Region. This Privacy Policy Statement explains the Club's practices regarding the collection, use, sharing, and protection of members' personal data.

A. Types of Personal Data Collected

To carry out its operations and provide services, events, and networking opportunities, the Club may collect personal data that can identify you as an individual ("Personal Data"). Such Personal Data may include:

1. Contact information such as your name, email address, and phone number;

2. Demographic information such as age, gender, nationality, marital status, and employment status;

3. Professional information such as job title, company affiliation, and financial executive credentials. Such information may be directly obtained from members' Linkedin profile, please write to members@finexclub.org if you do not wish the Club to use your Linkedin information;

4. Membership details such as membership number and transaction history.

If you provide Personal Data of other individuals (e.g., guests or referrals), you must obtain their consent before sharing their data with the Club. The Club may request supporting documentation for such consent where necessary.

Provision of certain Personal Data marked as mandatory (e.g., with asterisks in forms) is required. Failure to provide such data may prevent the Club from processing your membership application, providing services, or facilitating participation in Club activities.

B. Purposes of Collecting Personal Data

For members, Personal Data may be used for:

1. Processing membership applications and subscriptions to Club services, events, and facilities;

2. Providing networking opportunities, events, seminars, and other Club activities;

3. Verifying eligibility for membership or participation;

4. Facilitating communications between you, the Club, and other members;

5. Maintaining membership records and directories;

6. Sending Club publications, newsletters, and updates;

7. Conducting activities related to general meetings, elections, or governance;

8. Marketing and promotional purposes (see "Direct Marketing" section below);

9. Complying with the Club's rules, bye-laws, or legal requirements;

10. Preventing and investigating potential fraud or crime;

11. Any purposes directly related to the above or as specified in the relevant Personal Information Collection Statement at the time of collection.

For non-members or visitors (e.g., guests or event attendees), Personal Data may be used for:

1. Registering for events or access to Club facilities;

2. Providing requested services or information;

3. Complying with legal or Club requirements;

4. Preventing and investigating crime;

5. Any purposes directly related thereto.

C. Direct Marketing

The Club may use your name, contact details (e.g., email and phone number), and demographic information for direct marketing, such as sending information about Club events, seminars, networking opportunities, or promotions via email, phone, post, or other electronic means.

Your consent (including an indication of no objection) is required for such use. You may opt out of direct marketing at any time by notifying us (see "Enquiries" section below) or indicating your preference when providing your data.

D. Disclosure of Personal Data

Personal Data is kept confidential but may be disclosed to:

1. Employees, agents, contractors, or service providers of the Club who need it to perform their duties (e.g., IT support, event organizers, or mailing services);

2. Professional advisors, such as lawyers or auditors;

3. Government or regulatory authorities as required by law;

4. Other parties with your consent or as necessary for the purposes outlined above.

The Club will not sell or rent your Personal Data to third parties. Any disclosure will be limited to what is necessary and compliant with the Ordinance.

E. Data Security

The Club implements appropriate physical, technical, and organizational measures to protect Personal Data against unauthorized access, loss, destruction, or alteration, including secure storage systems, access controls, and encryption where appropriate. However, no system is completely secure, and absolute security cannot be guaranteed.

F. Data Retention

Personal Data will be retained only as long as necessary to fulfill the purposes for which it was collected or as required by law. Upon termination of membership, data will be retained for a reasonable period to address outstanding matters and then securely erased or anonymized unless legally required to be retained.

G. Access to and Correction of Personal Data

Under the Ordinance, you have the right to request access to your Personal Data held by the Club and to correct any inaccuracies. A reasonable fee may be charged for processing data access requests.

H. Changes to This Policy

The Club may update this Privacy Policy Statement to reflect changes in practices or legal requirements. Revisions will be posted on the Club's website or notified to members where appropriate. Continued use of Club services after changes constitutes acceptance of the updated policy.
